Data We Collect
For all visitors to the website we collect the IP address, the pages you visit, and the date/time of these visits, as part of our standard system logs. These are essential in monitoring the website for intrusion attempts, investigating suspicious activity, and identification and mitigation of potential security and/or performance issues.
No information that may contain personally identifiable details, apart from your IP address, is retained. The information we capture and store in our log files is deleted after 30 days.
Apart from the logs we capture as part of the basic operations of the website, there’s no requirement for you to share your information with us. If you do choose to share your information with us, here’s what we typically request, depending on where and how you’re engaging with us:
- The title by which to address you
- Your name
- Your email address
- Whether your enquiry is general, or press/media related
- Any message you may want to send to us
We collect this information using MailChimp, a data processor for CivilisedBank that provides our mailing list services in line with our instructions. MailChimp is a well-known product for mailing lists, sending billions of emails each month, and employs robust security measures. Additionally, if we’re permitted, we collect analytical data using Google Analytics, who act as a data processor on our behalf for website visitor analytics. Data for Google Analytics is collected and processed by Google if you allow us to use statistics cookies on your device.
How We Use Your Data
The information you choose to share with us is used for the following based on your preferences:
- To contact you as requested
- To measure interest in specific products, promotions, or content
- To analyse communications with our customers and interested parties
What we do NOT do:
- We do not share, sell, distribute, or lease your information to 3rd parties unless we’re required by law to do so.
- We do not send you information from or about 3rd parties
How We Protect Your Data
We restrict access to your data so that only our Head of Marketing and the services manager have access to it. Access to your information is restricted to authorised mailings and we put an unsubscribe link on these in case you’d like your email address to be removed.
We don’t store your data outside of MailChimp or use it for any purposes other than those listed above in “How We Use Your Data”.”
Exceptions to the protection of your data arise:
- To comply with our legal obligations
- To exercise our legal rights (for example in court cases)
- For the prevention, detection, investigation of crime, or prosecution of offenders
- For the protection of our customers and employees
Steps You Can Take to Protect Your Data
We’ll never ask you to confirm any personal details via email and if you’re asked to do so, please do not reply and contact us on firstname.lastname@example.org
Make sure you keep your account details and passwords private, do not share them with others, and use a different password for each website. You may want to consider getting a password management app to help you with this.
If you’re using your device on a free/public WiFi network it’s best not to access financial, medical, or personal services unless you’re using a VPN. Otherwise your data may be visible to malicious users.
If you receive an email that appears to be from a trusted source but seems suspicious, forward it back to that source and ask them about it, or pick up the phone and speak with them directly. Don’t click links in an email directly. Instead type them into your browser address bar.
It’s always better to be safe than sorry, especially with your personal details on the internet.
